How to Report Your PTA's Monthly Membership:
MONTHLY MEMBERSHIP REPORTS are an important part of becoming and staying a Unit In Good Standing with European PTA. This means that every month (even over the summer), each Local Unit must submit a membership report by the 25th of the month.
MEMBERSHIP REPORTING UPDATE (8/14/22):
- IF YOUR LOCAL UNIT HAS A FUNCTIONING STRIPE ACCOUNT, please submit your membership each month following the instructions in the blue section below.
- IF YOUR LOCAL UNIT HAS BEEN UNABLE TO SET UP A FUNCTIONING STRIPE ACCOUNT, please submit monthly membership reports via the reporting form at EuropeanPTAMembership.CheddarUp.com rather than following the MemberHub reporting instructions below.
- Local Units should still continue to enter all new members into MemberHub as soon as they're received when reporting via CheddarUp, according to the manual entry instructions below. (This provides your members with their digital membership cards and access to PTA communication via MemberHub.)
There are two options for your Local Unit to submit an official monthly membership report to European PTA:

All new members should be entered into MemberHub as soon as they're received, and must be up to date before you submit your monthly membership dues.
- If members join online through your MemberHub storefront, they're automatically added to your MemberHub database - no further effort is required!
- If members join using a paper membership form and pay via cash, check, or another online payment platform (ie. CheddarUp or Paypal), you will need to enter them into the MemberHub system manually.
The EPTA membership year runs from July 1st through June 30th. If you plan to hold an early bird membership drive at the end of the school year for the next school year, please DO NOT report them until your July membership report, or they will be counted toward the current membership year's total. (For example, if you sell memberships for SY 20-21 at the end of SY 19-20 and report them in June, they will be credited to your SY 19-20 total.)
It is very important to correctly record and pay membership dues for all of your members to grant them legal member status in your Local Unit, European PTA, and National PTA. Proper reporting also ensures that there are no surprises for your members in situations that require them to be a legal PTA member. Some examples include:
- Voting at your General Membership Meetings
- Running for Local Unit or European PTA board positions
- Using National PTA member benefits
- Applying for European PTA scholarships
- Applying for certain National PTA awards
- Receiving European PTA member rates for Convention and Fall Training
- Receiving PTA member rates at National PTA events
WHO is a Member?
Membership is a contract, so it is very important that we are all consistent in our definition of a PTA or PTSA member! This means that every member of your Local Unit, whether student or adult, should fit the criteria below. Each person who joins your Local Unit as a member:

If your Local Unit offers a Family Membership, you must either specify exactly how many people it can cover or provide a rate structure for an unspecified number of people, being sure to set your membership rates at least high enough to cover the dues that you send forward to European PTA and National PTA. For example:
- "A Family Membership at Imaginary PTA grants membership for up to two (2) adults and as many as four (4) students for $25 per school year"
- "A Family Membership at Imaginary PTSA grants membership for up to five (5) members of your household for $20 per school year"
- "A Family Membership at Imaginary PTA grants membership at the rate of $5 for the first member of your household and $3.75 for each additional member of the household per school year"
Only the family members who have full rights and benefits of membership, are on your membership roster, and have dues submitted to the Local Unit, European PTA, and National PTA are official and legal PTA or PTSA members through a family membership.

ACTIVE STATUS
Each membership year, all Local Units must meet the following requirements to attain Active Status with European PTA:
- Enter the names, emails, and positions of all current board members in MemberHub by August 1st of each year. Any board members who start after the August 1st deadline must be entered in MemberHub within 15 days of election or appointment.
- Submit membership dues to European PTA via MemberHub with dues payments for all current board members by August 1st of each year.
- Submit proof of PTA Training for all Local Unit officers within 30 days of the start of the school year (President, Vice Presidents, Secretary, and Treasurer) in a folder in the Local Unit’s Unit In Good Standing hub on MemberHub.
UNIT IN GOOD STANDING STATUS
Local Units must submit membership dues to European PTA via MemberHub by the 25th of every month. Failure to report for three consecutive months will result in loss of Unit In Good Standing status.
Local Units must also comply with all of the following standards by November 1st of each year to remain a Unit In Good Standing with European PTA. Local Units that do not maintain Unit In Good Standing status will be subject to a Local Unit Retention Plan as described below:
- Attain Active Status with European PTA (see requirements above)
- Submit a digital copy of the Local Unit’s Budget for the current school year in a folder in the Local Unit’s Unit In Good Standing hub on MemberHub.
- Submit a digital copy of the Local PTA bylaws, signed and dated by the current school year’s President in a folder in the Local Unit’s Unit In Good Standing hub on MemberHub.
- Submit a digital copy of the Local Unit’s audit from the prior school year in a folder in the Local Unit’s Unit In Good Standing hub on MemberHub.
